Privacy Policy

Effective Date: 1 May 2024.

This privacy policy governs your use of the software application “FarmSimple” for mobile devices created by CroppaCo Pty Limited (hereinafter “CroppaCo”, “we” or “us”). If you have any questions regarding privacy while using FarmSimple, have questions about our practices, or have requests around Farm Data, please contact us via email at privacy@croppaco.com.


 

What Information FarmSimple Collects

Registration with us is mandatory to use FarmSimple. When you register with us you will provide a subscriber name, the owner name, owner email address, and password.
In addition, FarmSimple provides only limited free features (able to add equipment, paddocks and users); a subscription is mandatory in order to be able to use the full features of FarmSimple. Details regarding the subscription such as the subscription type and any associated digital receipts will be required in order to validate the subscription. The information FarmSimple collects (hereinafter “Farm Data”) can be broken down into the categories of Asset Data, Farm Activities, Farm Inventories and Human Resources Data.
 

 

Asset Data

FarmSimple typically requires that you provide the details for each asset you wish to manage. Details on these assets are listed below:

Additional users can be added to a subscription as required. This privacy policy applies to all users of FarmSimple.

 

Farm Activities

FarmSimple can be used to record activities using the above assets to assist the user in day-to-day farm operations as well as maintaining regulatory compliance. The activities and examples of data required are as follows:

FarmSimple may ask for access to your photos and/or camera for the purpose of attaching an image to an activity. Allowing access to your photos and/or camera is optional with this application. Photos will never be shared with any third party.

 

Farm Inventories

FarmSimple has the capability to keep track of the inventory for certain products/commodities kept on farm. This is achieved through the use of ‘tickets’ outlining what product/commodity, and if it is adding or subtracting the amount. Examples of the inventory data collected are displayed below:

Human Resources Data

FarmSimple has the capability to be used for collecting data which assists with the running of a business with employees. The features available, and required data, are outlined below:

Why FarmSimple Collects this Data

The collection of the above data is required in order for FarmSimple to accurately record and plan farm and other business activities. The sole aim is to assist the owner in the running of their farming business. Certain data may also be required for regulatory compliance in the region in which the farming business operates.


 

Third Parties

This application and CroppaCo will never share your data with any third party, unless specified below:
As required by law, such as to comply with a subpoena, or similar legal process.
When we believe in good faith that disclosure is necessary to protect our rights, protect your safety or the safety of others, investigate fraud, or respond to a government request.
If CroppaCo is involved in a sale of all or a portion of their assets, you will be notified via email and a prominent notice on our web site of any change in ownership or uses of this information, as well as any choices you may have regarding this information.


 

Backend Services

FarmSimple uses the Google Firebase suite as a backend service for the storage and management of data. This includes, but isn’t limited to, Firebase Realtime Database, Firebase Authentication, Firebase Storage, Firebase Functions and Firebase Hosting.  The data stored in this service is Farm Data as specified above.

Google employees do not have access to Farm Data held within FarmSimple. Google acts as a “data processor” for FarmSimple, while CroppaCo is classed as the “data provider” - as outlined within the Firebase Privacy and Security : https://firebase.google.com/support/privacy. Data Location

FarmSimple is a cloud based service, as such the data is available worldwide (with a few exceptions due to government policy - for example North Korea). All staff are located in Australia.


 

Opt-out Rights

You can stop all collection of information by FarmSimple easily by uninstalling the Application, using the standard uninstall processes part of the operating system (such as iOS or Android). You can also request to opt-out via email, at privacy@croppaco.com, as well as cancel your account and remove all Farm Data from within the Application.


 

Data Retention

We will retain Farm Data for as long as you have an active account on FarmSimple and for up to 24 months thereafter. If you’d like us to delete any Farm Data that you have provided via FarmSimple, please contact us at privacy@croppaco.com and we will respond in a reasonable time. Please note that some or all of the Farm Data may be required in order for FarmSimple to function properly.


 

Data Backups

CroppaCo is not responsible for the deletion, whether deliberate or accidental, of any Farm Data. Farm Data is backed up daily, with backups retained for 30 days before being purged. In the event of massive data loss affecting the whole database, the maximum data loss is therefore 24 hours. Database backup could be restored within hours.


 

Data Retrieval

If at any time you wish to obtain a full copy of your Farm Data held by FarmSimple, simply contact us at privacy@croppaco.com and we will forward a copy of your database to you within a reasonable time.


 

Security

We are concerned about safeguarding the confidentiality of your information. We provide physical, electronic, and procedural safeguards to protect information we process and maintain. For example, we limit access to this information to authorised employees who need to know that information in order to operate, develop or improve FarmSimple. Please be aware that, although we endeavour to provide reasonable security for information we process and maintain, no security system can prevent all potential security breaches.

In the event of a security breach, all current users will be notified by email of the breach along with any relevant details if their data was involved in the breach.


 

Insolvency

If CroppaCo becomes insolvent, you will be notified via email and a prominent notice will be displayed on our website. Within this communication will be details on the choices you may have regarding your farm data. The main recommendation will be to download and delete your farm data within 4 weeks.


 

Change in Ownership

If CroppaCo is sold, or FarmSimple changes owners, you will be notified via email and a prominent notice will be displayed on our website. Within this communication will be details on the choices you may have regarding your farm data.


 

Changes

This Privacy Policy may be updated from time to time for any reason. We will notify you of any changes to our Privacy Policy by posting the new Privacy Policy here. You will be notified of any intended change by email, with 4 weeks notice of the intended change. The data owner will be prompted to accept the new policy when it comes into effect, with a record of the policy you’ve accepted and a timestamp of the acceptance stored for future reference. Failure to accept the updated policy will mean you can no longer use FarmSimple. You may then follow the opt-out rights specified above.
